Job Description This position coordinates the religious exempt status and certification of accredited preschool\/nursery programs by conducting the initial reviews of requests for exemption or certification to determine compliance with the Code, and manage the information exchange systems of the Region. Serve as the initial point of contact for requests of information regarding regulated programs, and discerns from callers the applicable program to refer calls appropriately. Process fees for licensing applications, handle data entry and deposits; process request for refunds; initiate follow up to facilities to collect past due fees. Provide administrative support and coordinate the preparation and filing of case record materials, program specific confidential documents and reports; process ordering of supplies and equipment; and establish, utilize, and maintain automated records systems. Minimum Qualifications The successful candidate should possess: the ability to deal effectively with diverse public contacts; to review and evaluate documents for compliance with code requirements; to understand and apply regulations; to communicate and provide program specific information orally and in writing; to accurately collect, analyze, organize and document a variety of information\/data; and perform basic mathematical computations. Demonstrated knowledge of general office procedures; basic financial practices; ability to file accurately; skill in operating office machines and automated systems equipment; demonstrate correct spelling, grammar and punctuation; and the ability to plan, organize and prioritize multiple\/diverse work tasks independently. Preferred Qualifications Post-secondary education with demonstrated knowledge and skill in utilizing and maintaining computer databases to produce documents, reports, and track workflow; demonstrated ability to interact with a diverse group of public and other professional contacts; experience in accurately applying code, regulations, policy and procedures is preferred. Considerable knowledge of administrative assistant duties that includes independent clerical support of one or more programs is also highly preferred. Proficient in the use of Microsoft Office (Word, Excel, PowerPoint and Outlook).\u00c2 Demonstrated skills working with automated systems related to purchasing supplies\/equipment and processing invoices. Special Requirements Employment with VDSS will be contingent upon completion of a background investigation that includes a criminal history check, employment verification, and previous supervisor\/reference checks. This position will be required to travel. VDSS employees whose positions are in Band 5 and above perform in emergency roles if needed during state and federal disaster declarations. This is in accordance with the agency\u00e2??s emergency responsibilities. The selected candidate will be assigned to an emergency role upon hire and is expected to perform in that capacity as needed. VDSS will record information from each new employee\u00e2??s Form I-9 (Employment Eligibility Verification) into the Federal E-Verify system to confirm identity and work authorization.
