Whether in a direct-care or support role, your contribution will make a difference in the life of a Texan. Performs advanced level secretarial work including but not limited to typing general correspondence and minutes, entering appropriate and accurate information into the AVATAR system in order to track and change patient movement, maintaining daily patient roster, and ensuring all discharges, transfers and other patient movement is tracked and completed in the AVATAR system. Maintains files and reports, and assembles and organizes information for supervisor. Coordinates with the Director of Social Services on all monthly meetings, credentialing letters, filing, scheduling of Social Work interviews including the collection of Social Work application forms, assisting with coordination of CCR meetings and OSAR screening meetings. Work is performed under the direct supervision of the Administrative Assistant II and the general supervision of the Unit Director with moderate latitude for use of initiative and independent judgment. This position assumes no financial responsibility but is accountable for assigned property. Must understand that duties, location of work and shift pattern are subject to change as determined by the administration to meet the needs of the hospital. Must understand that duties may include exposure to blood or other potentially infectious materials. Employee actively participates and/or serves in a supporting role to meet the agency's obligations for disaster responses and/or recovery or Continuity of Operations (COOP) activation. Supports the mission and vision of the facility.
Essential Job Functions:
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. 1. Responsible for all patient movement, including, but not limited to, initiating transfers, receiving transfer information, tracking discharge information, and ensuring the information is entered or removed from Avatar system as needed. 2. Responsible for updating all the rosters and logs to ensure they accurately reflect the most current Hope population, notifying clerical, clinical, direct care staff, and physician in order to ensure staff’s awareness of patient movement and changes. 3. Types correspondence, memoranda, minutes and statistical reports using Microsoft Office software and handles confidential information with necessary directions to ensure an orderly flow of work. 4. Enters patient movements (admissions, transfers, leaves, discharges, etc.), provider assignments, and level of care into Avatar PM within required timeframes in order to maintain current and accurate patient information. 5. Updates daily patient roster, using the information from the Daily Population Movement reports, and distributes to unit staff and specified departments. 6. Coordinates with the Director of Social Services all monthly Peer Review meetings, Peer Review credentialing letters, Peer Review filing, scheduling of Social Work interviews including the collection of social work application forms, assisting with coordination of Clinical Case Review (CCR) meetings and Outreach, Screening, Assessment, and Referral (OSAR) screening meetings. Compiles Social Work Clinical Pertinence and Social Work Observation Audit scores. Provides satisfaction score analysis for Social Work Continuing Education Unit (CEU) classes. 7. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities:
1. Working knowledge of general office practices, spelling, grammar, simple arithmetic and standard office machines. 2. Skills in clinical/medical or general office practices. 3. Skills using Microsoft software (Office, Word, Excel, Clinical Work Station (CWS), Avartar PM, Material Inventory Management System (MIMS)). 4. Ability to organize and prioritize workload to meet deadlines. 5. Ability to understand and carry out moderately complex instructions.

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, and HHS OIG list of Excluded Individuals/Entities. Males between the ages of 18-25 must be registered with the Selective Service. Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the posted minimum of the salary range. Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. Part-Time Work Hours: 8:00 AM - 12:00 Noon, Monday-Friday = 20 Hours/Week.
