 Job Summary: 

This position is responsible for providing a wide variety of support services to the Real Estate Services Group (RESG). Responsibilities include providing customer service support as the primary administrator of the department Service Request Line and work order application (FedTRAC), managing attendance records for a complex 24/7 operation, supporting department accounting and procurement processes and providing related analysis and reporting, preparing monthly billing for third party tenants, and handling routine administrative assignments.

This position is responsible for ensuring that the department remains within compliance with timekeeping, P-Card usage, and other areas. This position also acts as a department liaison to building tenants and other Bank departments and is knowledgeable in department and Bank policies and procedures.

Principal Accountabilities: 1.Act as primary customer representative on the Real Estate Services Group Service Request Line and maintain work order system to ensure all work orders are entered timely, processed accurately and followed up upon as needed. Maintain compliance with department’s Service Level Agreement for billable services through review of completed work orders. Provide reporting and analysis on data from the work order system and other application modules.2.Serve as department timekeeper for complex 24/7 operation. This includes maintaining compliance with Bank policies, communicating attendance-related protocol to RESG staff, and providing regular attendance-related reporting to management team.3.Support procurement process by inputting purchase requisitions, creating contract abstracts, and requesting rate sheets from vendors. Maintain documentation for contracts, expenses, purchase orders, and invoices. Review P-card transactions to remain in compliance with Bank policies. Keep records of licenses and subscriptions; renew as necessary.4.Serve as point person for on and off-boarding department employees; coordinate with department managers and Bank departments as necessary to ensure timely submission of documentation and the timely and proper transfer of Bank equipment. 5.Provide a wide variety of administrative support services such as scheduling, coordinating, word processing and data entry. Prepare and assemble meeting materials and records meeting minutes, as requested. Responsible for logistical arrangements and coordination of department meetings, events, and presentations, including invitations, agendas and supporting documentation. Maintain department-related documentation, such as employee contact lists, emergency information, etc.6.Prepare and submit regular analysis and reporting on various operational areas, such as attendance, building services, billing, parking and food services.7.Coordinate travel arrangements. Review requests for compliance with department and Bank policies. Identify travel options, book reservations, confirm special travel requests, and ensure accuracy of expense vouchers.8.Update and manage elevator digital display system (Captivate) as needed.9.Exercise considerable discretion and independent judgment in the resolution of issues.

Knowledge and Experience

Knowledge and experience normally acquired through, or equivalent to, the completion of a Bachelor's degree and a minimum of 3-5 years of job-related experience. •Excellent written and verbal communication skills, sound judgement, and ability to work on multiple assignments simultaneously, prioritize work, and meet deadlines•Exceptional customer service skills and ability to interact effectively with people at all levels of the organization•Strong ability to analyze results and deliver feedback•Proficiency in MS products (Word, Excel, PowerPoint, Outlook, SharePoint)
