Summary

This position is located in the Procurement Division of the Center Operation Directorate. The incumbent of this position serves as an Executive Support Assistant, providing advice and assistance to a Senior Executive, division-level organizational element(s) relative to a wide variety of administrative, logistical, secretarial or clerical duties.

Responsibilities

Provides Administrative Support Services to a Division-level office; duties include managing the supervisor's calendar(s), screening visitors and requests for appointments, office automation, and day-to-day administrative responsibilities.

Create and maintain files and records; process documents related to organizational transactions; prepare correspondence, spreadsheets, and other documents; prepare meeting agendas; take, transcribe and distribute notes from organizational meetings.

Give procedural guidance to staff members, as assigned, and serve as the Director's liaison to explain instructions such as implementing guidelines, directives, and policies.

Make arrangements for meetings and/or conferences such as securing space, time, preparing needed materials, and coordinating participants.

Purchase supplies, equipment, and services as needed, as well as process and track purchase documents.

Performs office automation work; Integrate use of a variety of software, such as spreadsheets, databases, word processing, desktop publishing, reporting, and graphics applications.
