This announcement is to create a pool of candidates for future employment
for Medical Support Assistant (Ward Clerk)
It is expected that the MSA work collaboratively with patient care teams to review, monitor, and ensure the needs of the hospital are supported.

Responsibilities
Assignments at this level include but are not limited to:
Provide administrative support to the inpatient wards and their clinical staff which involves coordinating daily with physicians to obtain, correct, or gain clarification of patient orders when necessary. This includes contacting the MAR (Medicine Admitting Resident) or appropriate Surgical Resident to obtain initial clinic order for direct admissions to wards.
Work closely with the bed coordinator/nursing supervisors, AODs, physicians, nurses, social workers, patient travel, and other clinical/non-clinical staff to facilitate patient movement.
The MSA is solely responsible for providing administrative support to seven hospital wards during the weekend/off tours.
Provide excellent customer service to Veterans and their family members, including addressing patient needs and/or inquiries.
Effectively understand patient perspective, attempting to resolve any issues and/or complaints as they arise.
Knowledge of Bed Control; the ability to correctly transfer and discharge patients in VISTA, to include editing incorrect patient movement to ensure accuracy.
Record patient movement on Gain & Loss sheet, accurately tracking daily ward census data, and reconciling census numbers with bed coordinator/VISTA.
Coordinate inter-facility patient transfers with physicians, nurses, patient travel and/or AOD. Communicate with the accepting facility, providing them with necessary and/or requested documentation. Ensuring all required forms are completed, signed, and sent to outside facility in compliance with hospital policy.
Secure RTC orders and/or Consults, and scheduling patient follow-up appointments if necessary. Communicate daily with physicians to obtain outpatient consults, return to clinic orders, discharge summaries, discharge orders, and discharge instructions in order to finalize patient discharge.
Communicate/coordinate with physicians to obtain travel consults, advising them on information that must be added to the consult in order to arrange travel upon discharge or transfer to other facilities.
Prepare patient health records, proxy paperwork and/or advance directive documents to be entered into CPRS and sent to HIMS for scanning into system.
Assemble admission/discharge paperwork and make/breakdown patient charts
Time keeping for nursing staff assigned to the inpatient wards.

Qualifications
A. Citizenship:
Citizen of the United States. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3g.)
B. Experience and Education:
(1) Experience:
Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or
(2) Education:
One year above high school; or
(3) Experience/Education Combination:
Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
C. Certification:
None required.
GS-5 MSA
(a) Experience or Education. One year of experience equivalent to the next lower grade level or 4 years of education above high school.
(b) Assignment. This is the full performance level for MSAs. At this level, the MSA performs a full range of duties. The MSA is responsible for scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other VA facilities or private hospitals; performing basic eligibility, co-pays and pre-authorization requirements for specific coverage (i.e., TRICARE, sharing agreements, etc.).
