This position requires a high level of organizational, communication and technological skills, as well as broad knowledge and the ability to anticipate, prioritize, multi-task, and self-direct. On a daily basis, the assistant provides administrative support including preparing, revising, and developing documents; maintaining and/or monitoring calendars, files, emails, deadlines and appointments; making travel arrangements; procuring supplies and processing invoices; coordinating meetings; maintaining databases; acting as a liaison to other departments; and completing assigned projects. The Advanced (Executive) Administrative Assistant reports to a Business Administrative Supervisor and is located in Richmond, VA.
Specific responsibilities include:
Provides executive-level administrative support for the Executive Vice President (EVP) of Research and senior department officials. Serves as first point of contact for the EVP.
Prioritizes and coordinates work flow of EVP and contributors to ensure timely deliverables. Assesses, evaluates and appropriately responds to EVP’s internal and external scheduling demands.
Communicates with all levels of Bank and Board of Governors staff and various external constituents. Acts as an ambassador for the Executive Office. Top-level contacts may include Directors or members of the Conference of First Vice Presidents or Conference of Presidents of the Federal Reserve System.
Schedules and manages meetings and briefings. Provides administrative support for advisory councils, executive-level committees, and applicable System and Bank workgroups as needed.
Maintains and monitors incoming mail, electronic and other, which includes confidential, classified or other highly sensitive communications for appropriate distribution and responses.
As a senior member of the administrative team, collaborates and openly shares strengths and knowledge to help facilitate a well-functioning administrative team.
Works independently on special assignments, such as working with other departments or units on behalf of the EVP.
Coordinates high-level events, such as receptions and visits of Governors or other top-level guests.
Develops analytical reports and completes projects of moderate complexity and priority.
May make international travel arrangements. Arranges visas, completes foreign travel requests, and works directly with contacts to confirm arrangements.
Completes other duties as assigned.

9 years of administrative assistant experience
Bachelor's Degree and/or equivalent experience
Thorough knowledge of the Federal Reserve System, the Bank’s departments and System projects
Knowledge & Skills:
Advanced computer skills including Microsoft Outlook, Word, Excel, and PowerPoint along with other various online applications
Ability to handle the most sensitive information with confidentiality and tact
Outstanding oral and written communication skills, interpersonal and customer service skills, including the ability to interact with high-profile public contacts and Federal Reserve System staff, with the highest level of professionalism and sound judgment
Excellent attention to detail and quality of work and service
Advanced project management and analytical skills
Outstanding organizational skills and time management skills with a strong ability to multitask and reprioritize
