VA Northern Indiana Health Care Systems, (VANIHCS), is larger than just a single facility. It is a fully-integrated medical care facility with a dual campuses in Fort Wayne and Marion and Community Based Outpatient Clinics, (CBOCs), in Goshen, Peru and Muncie, Indiana and combined VA mission. The Northern Indiana Healthcare System (NIHCS) is excited about our new St. Joseph County VA Clinic currently opened in Mishawaka, Indiana. This 90,000 SF facility Health Care Center has both Patient Aligned Care Team (PACT) and Specialty Clinics (GI, Audiology, Vision, Urology, and Podiatry). The combined mission of the VANIHCS means military retirees, and eligible veterans receive health care at these facilities.

The Supervisory MSA at this level, plan and direct programs at medical centers and/or satellite outpatient clinics and have full supervisory responsibility for supervising at least one subordinate team leader or supervisor. Duties at this level include, but are not limited to: Assign and evaluate the work of subordinate staff.
Resolve complex patient issues to ensure patient services are met.
Identify educational or training needs of subordinate staff.
Resolving employee issues at the Supervisory level, and provide management support to Clinic Administrator.
Responsible for extracting and analyzing data to provide reports supporting performance measures, insurance capture, workload capture to senior management.
Conduct regular meetings with subordinates for discussion and resolution of work problems. Establish new work methods and in-service training on an 'on going' basis.
Schedule and encourage participation of employees in various training courses and opportunities.
Initiate all requests for personnel action, performance appraisals, and serves on and/or chairs interview panels to conduct interview of applicants and makes recommendations to the selecting official.
Work with Health Information Management System (HIMS) and Quality Management staff to ensure appropriateness of Medical Records usage are in compliance with TJC standards, and Release of information (ROI) and Privacy standards are upheld at all times.
Participate as needed by the Clinic Administrator in meetings with other sections or service/care lines to work out and coordinate organization, procedural and other problems affecting the Health Care System.
Responsible for identifying long and short range goals and objectives for the Outpatient Clinic/HealthCare Center.
Work in tandem with the Clinic Administrator on plans for implementation.
Participate or represent MAS in committees and task force groups as directed by MAS management.Work Schedule: Monday-Friday, 8:00 a.m. to 4:30 p.m.

Experience: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
Education: One year above high school
Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
Preferred Experience: 1 year of experience in a healthcare setting.
GRADE DETERMINATIONS: GS-8 Supervisory Medical Support Assistant
Experience: In addition to the basic requirements, this position requires one (1) year of specialized experience equivalent to the next lower grade level (GS-7) in Federal Service to be creditable.
Examples of qualifying specialized experience includes (this experience must be clearly detailed on your resume to be found qualified): Assigning and evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational or training needs; making final decisions on selections; evaluating performance, and taking disciplinary action when necessary; administrative and professional responsibility for planning and directing the Medical Support Assistants activities; extracts and analyzes data in order to provide reports in support of performance measures to senior management. (Your experience must be detailed in your résumé to receive full credit.).
In addition to the qualifications above, candidates must demonstrate the following knowledge, skills, and abilities listed below to qualify for this position: Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.
Ability to provide briefings, orientations, staff development, and training.
Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
