Responsibilities

Major Duties

Serves as the Program Support Assistant and administrative expert for professional staff in the Adult Day Health Care Program (ADHC), which is a therapeutically-oriented outpatient medical care program providing health maintenance and rehabilitation services for Veterans in group settings.

Provides comprehensive administrative support to the ADHC Program Coordinator and other ADHC professional staff in a dynamic, multi-discipline, patient care setting.

The employee is responsible for (1) protecting medical record data from unauthorized deletion and (2) following applicable regulations and instructions regarding access to computerized files, release of access codes, etc., as set out in a computer access agreement which the employee signs.

Demonstrates continuous vigilance for daily, efficient, and constructive ADHC operations.Expected to be prepared for multiple, varying scenarios with the ability to adapt using knowledge of ADHC program goals.

Screens and reviews incoming correspondence for ADHC.Reads correspondence, determines appropriate action, and deadlines items that require a response.Independently routes correspondence appropriately.

Records telephone messages pertaining to various matters and recognizes and refers urgent messages to the clinical staff for immediate actions.

Serves as the initial point of contact for ADHC.Properly greets visitors and/or telephone callers.Viewed as the expert concerning information about the ADHC Program.

Accurately and tactfully screens calls/visitors/correspondence and determines the needs of customers and independently resolves issues/questions.Makes referrals appropriately.

Assists Veterans by contacting volunteers or social workers as needed for internal appointments.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 27 April 2018.

Time-in-grade: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For a GS-6 position you must have served 52 weeks at the GS-5 level.

Specialized Experience: GS-6

EXPERIENCE: Possess one (1) year of specialized experience equivalent to the GS-05 level. Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. In this particular position, examples of specialized experience include: completing a wide range of special projects. Also provides a wide range of administrative/technical/clerical support to the service staff.

Knowledge of the organization, regulations, policies and procedures to include special events, placement, and orientation of employees. Knowledge of medical center organization. Knowledge of basic computer applications to includes Microsoft Word, Access, and Excel.

To be creditable, specialized experience must have been equivalent to the GS-05 level in Federal service to qualify at the grade 06. NOTE: Evidence of experience must be supported by detailed documentation of duties performed in positions held. Please provide such documentation on resume.

B. SUBSTITUTION OF EDUCATION FOR EXPERIENCE: I have successfully completed a full 4-year course of study leading to a bachelor's degree in a related field or a Bachelor's Degree in a related field. This education must have been obtained in an accredited college or university and must demonstrate the knowledge, skills, and abilities necessary to do the work. (Transcript required). Applicants must, in general, (1) have specific course work that meets the requirements for a major in a particular field(s), or (2) have at least 24 semester hours of course work in the field(s) identified. Course work in fields closely related to those specified may be accepted if it clearly provides applicants with the background of knowledge and skills necessary for successful job performance.

C. COMBINATION OF EDUCATION AND EXPERIENCE: I have equivalent combinations of creditable experience and education. Equivalent combinations of successfully completed an under-graduate education and experience are also qualifying. One year of full-time undergraduate study is defined as 30 semester hours or 45 quarter hours. (Transcript required). If you do not provide a copy of your transcript, your application package may not be processed).

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
