The Department of Public Works, Environmental Programs Division is seeking highly-motivated individuals with strong communication and organizational skills to assist the division with day-to-day clerical duties and special assignments as needed. The incumbent will support an Assistant Division Head and two sections. Interest in environmental preservation is encouraged.
The vacancy is at the Department of Public Works, Environmental Programs Division, located at 900 South Fremont Avenue, Alhambra, California 91803. This office works a 4/40 work schedule.
Essential Job Functions
Duties of this position entail:
Providing support and clerical assistance to EPD Administration and assigned sections.
Typing, proofreading, revising, formatting and finalizing letters, memos, Board Letters, Agreements, Confidential Personnel Reports, and AP's.
Screening in-person inquiries, mail, E-mail and telephone calls; furnishing requested information if available; referring complex matters for review.
Checking correspondence to make sure all pertinent information is provided.
Ensuring Administration is kept well-apprised of upcoming deadlines and tasks that require their attention.
Scheduling appointments; arranging conferences and meetings; overseeing workflow of priority letters and memos submitted for approval.
Acting as an intermediary between supervisor and staff.
Performing general office duties and special assignments, as needed.
Candidates must currently hold the payroll title of Secretary IV and must have successfully completed their probationary period.
