Summary
Assigned to the Radiology Service at the Orlando, Florida VA Medical Center, the Advanced Medical Support Assistant (Advanced MSA) is responsible for performing a variety of technical support duties that facilitate the work of physicians, physician assistants, nurses, nursing assistants, and other members of the medical facility who provide direct patient care. Advanced Medical Support Assistants are considered chief sources of patient care and patient flow information.

Responsibilities
The Advanced MSA is responsible for the overall coordination of clinic cancelations, clinic schedules to include appointment scheduling and changes, arrangements for special studies, appointment registering, consult tracking, verification of doctor's orders and treatment orders, completeness and accuracy, and relaying medical test results to appropriate professional medical staff for immediate action. S/he explains medical tests and exam instructions to be observed and test preparation procedures to the patient prior to appointment. The Advanced MSA also: provides any related instructional sheets for special procedures and facilitates patient appointments; relays any medication issues to the appropriate clinical staff; and shares other general information, initiating appropriate action as required. S/he initiates forms for authorization for procedures, monitors the waiting areas for possible changes of patient conditions, and initiates appropriate measures in emergency situations. Duties and responsibilities of the Advanced MSA include, but are not limited to, the following:
Serves as key contact for physicians, veterans, family members, and staff members who are trying to obtain radiology images, reports, and other related information regarding radiological procedures, images, and reports.
Schedules patients for radiology exams in accordance with Service procedures and policies; and instructs patients on standard preparation procedures required prior to testing (i.e. liquid intake, medications, dietary instructions, lab tests, etc.).
Ensure patients requiring contrast studies are issued appropriate documentation/educational resources prior to their scheduled examination.
Schedules appointments in the scheduling package; avoiding conflicts with other scheduled appointments within the Service, and other Medical Center services.
Ensure that ALL patient appointments are entered into the Vista appointment package with a complete order in a timely manner.
Receives new and recurring patients to the service, reporting any obvious changes in patient behavior to professional staff.
Familiar with HIPAA policies and procedures regarding release of patient information.
Receives and sends radiological images and/or reports to and from other medical facilities: local, state, and federal.

Qualifications
BASIC REQUIREMENTS:
All applicants must meet the following basic qualifications.
a. Citizenship.
Must be a citizen of the United States.
b. Experience and/or Education.
(1) Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or (2) One year above high school; or (3) Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. (Transcripts required if using education to qualify).
c. English Language Proficiency.
Medical Support Assistants must be proficient in spoken and written English as required by 38 U.S.C. 7402(d) and 7407(d).
d. Physical Standards.
Must pass a pre-employment examination. See below for additional information.

GRADE REQUIREMENTS:
In addition to the basic requirements above, all applicants must also meet one of the following grade requirements for a specific grade level.
GS-6 (Advanced MSA) Experience.
At least 1 year of specialized experience equivalent to the GS-5 grade level that shows you possess the knowledge, skills and abilities to successfully carry out the duties of this position. Examples of qualifying experience includes, but is not limited to: scheduling, canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; etc.
Qualify Ranking Factor:
One to three years experience with scheduling patients within a clinical environment/medical facility is highly desirable.

Physical Requirements:
Must pass a pre-employment physical examination as required by VA Handbook 5019. This examination is administered by VA Occupational Health. Work is sedentary and performed in an office environment. There is an occasional requirement for carrying of light items such as mail, papers, books, and files, and there is frequent bending, stooping, and standing when engaged in filing. Incumbents must be physically and mentally able to efficiently perform the essential functions of this position without hazard to themselves or others.
