Responsibilities

As an Advanced Medical Support Assistant at the Oklahoma City VA Healthcare Systems, you will serve in an administrative capacity with the Medical Administration Service. The incumbent will work collaboratively with other members of an expanded health care primary care team including pharmacists, social works, dietician, behavioral health staff, etc. to provide a robust interdisciplinary approach to care.

Major Duties

include but are not limited to:

Participates in team huddles nad team meetings to manage and plan patient care.

Sets priorities and deadlines.

Adjusts the flow and sequencing of the work to meet team and patient needs.

Monitors pre-appointment requirements.

Maintain appointment schedules.

Manages electronic wait list to verify and validate accuracy and resolve issues.

Reviews active/pending consults, electronic wait and recall list.

Participates and provides input in problem solving.

Performs receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients.

Analyze, interpret and implement VA regulations.

Ensures that all necessary health/administrative information are integrated into the Computerized Patient Record System (CPRS).

Work Schedule: Monday - Friday, 7:30 AM - 4:00 PM or 8:00 AM - 4:30 PM

Physical Requirements: Work is primarily sedentary with some standing, walking, bending, and carrying of light items required. There are no unusual physical demands required to perform the duties of the position.

Qualifications

Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.

English Language Proficiency: Medical Support Assistants must be proficient in spoken and written English in accordance with VA Policy.

Experience: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education: One year above high school (Official Transcripts Required); OR Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for both education and experience are acceptable. [Official Transcripts Required]

Grade Determinations GS-6:

Experience.One year of experience equivalent to the GS-5 grade level. Examples of experience could include, but are not limited to: Interacting with both internal and external customers.

Establishing and maintaining medical outpatient and inpatient charts as well as administrative records.

Verifying and updating third party insurance information.

Obtaining medical and demographic information from patients.

Scheduling and/or canceling appointments and/or consults.

Processing all emergency and non-emergency transfers to other medical facilities.

Performing basic eligibility, co-pays and pre-authorization requirements.

Demonstrated Knowledge, Skills, and Abilities. In addition to the GS-5 grade level experience, you must also demonstrate the following knowledge, skills, and abilities (KSAs). Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.

Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.

Advanced knowledge of the technical health care process as it relates to access to care.

Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
