Administrative Support Assistant
In this GS-0303-06 Administrative Support Assistant position, the incumbent provides line administration management support for the Ottawa National Wildlife Refuge in Oak Harbor, OH, or, St. Croix Wetland Management District in New Richmond, WI. Support includes budget development and administration, management analysis, procurement and agreement processing and administration, property and human resources assistance.

While not all inclusive, the incumbent's main responsibilities include:
Developing and reviewing field level budgets, including financial activities for multiple accounts
Analyzing data for budget preparation
Maintaining control of all expenditure accounting
Maintaining and reviewing all financial documents for accuracy
Completing necessary correspondence to resolve financial discrepancies
Preparing acquisitions of supplies, equipment, and construction ensuring purchases are in compliance with Federal procurement regulations
Assisting in preparation of supporting documents for contracts, Interagency agreements, and Coop Agreements
Ensuring expenses are obligated promptly
Preparing personnel actions
Coordinating staff training
Preparing various reports of differing complexities and recurrences
Entering, reconciling, and validating time cards
Occasional travel - Travel may be expected for training.

One year of specialized experience equivalent to the GS-05 grade level in the Federal service that provided you with the knowledge, skills, and abilities needed to successfully perform the duties of this Administrative Assistant position at the GS-06 level. Examples include performing administrative support in an office; receiving phone calls, emails, and mail and directing each to an appropriate staff member; preparing and reviewing various types of correspondence; preparing travel requests, documents and making travel arrangements in an automated computer system; maintaining and/or creating spreadsheets and databases of varying complexities; establishing and maintaining files in accordance with regulatory procedures; operating a variety of administrative computer applications and software programs.This experience must have been gained in a clerical setting and specifically documented on your resume to receive credit.
This job does not have an education qualification requirement.

Ability to understand and apply governmental budgetary regulations and financial execution methods for expenditure of funds within allocated amounts.
Knowledge and understanding of governmental acquisition and property regulations, procedures and business practices.
Knowledge of human resources rules, regulations and procedures.
Ability to work as a team member to provide general office administrative support such as preparing reports, greeting and directing visitors, answering telephone calls, making arrangements, preparing travel vouchers and shipping packages.
Skill in the use of computer software applications to prepare statistical reports, spreadsheets, databases and route correspondence.
