Job Description
The County of San Mateo Health System is seeking a well-qualified Medical Office Services Supervisor-Vital Statistics.
Medical Office Service Supervisors (MOSS) supervise medical office support staff and activities within the Health System; provide assistance to management staff; and provide technical or specialized medical office support. The MOSS will provide orientation for new employees; train, monitor,and assist employeeswith problem solving; ensureaccuracy in information processed; ensure information provided is timely and meets anyrequired reportingrules, regulations, and laws; participate in supervisory meetings with staff and management; work with Information Technologystaff to ensure computer needs and program accessibility.
The current vacancy is in the Public Health, Policy and Planning Division's Vital Statistics Unit located in San Mateo, CA.
This MOSS will supervise asmall group of support staffworking in Vital Statistics and in the administrative unit performing general office, fiscal, contracts, andpayroll and personnel related tasks and Animal Control & Licensing. The MOSS will alsoact as the liaison with Information ServicesDepartment regarding technologyneeds andhandle special projects.This position may require occasional evening or weekend hours.
The ideal candidate
will have team leadership skills; exceptional organizational skills;a professional demeanor; the ability to work well independently;good computer usage and technical troubleshooting skills;fiscal knowledge to review invoices for management approval; anunderstanding ofpayroll/personnel functions such as timecards and staff development; understanding of Vital Records such as birth and death certificates and Animal Control & Licensing; solid written communication skills; and proficient in Microsoft Office applications.

Education and Experience :
Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is four years of experience providing office support.
Knowledge of :
Supervisory principles and practices, including work planning, scheduling, review and evaluation and employee training and corrective action; medical office management practices and procedures, including records management and the operation of standard office equipment; policies, procedures and medical terminology related to the medical treatment or screening areas to which assigned; applicable laws, ordinances, rules and regulations; office administrative practices and procedures, including records management and the operation of standard office equipment; business arithmetic, including percentages and decimals; correct English usage, including spelling, grammar and punctuation; and business data processing principles and the use of word processing or personal computing equipment.
Skill/Ability to :
Plan, assign, supervise, review and evaluate the work of others; train others in work procedures; organize and prioritize work, meet critical time deadlines and follow up on assignments with a minimum of supervision; read, interpret and apply rules, policies and procedures; organize, research and maintain patient and general files; perform and coordinate administrative support projects independently or with brief instructions; use initiative and sound independent judgment within established guidelines; establish and maintain effective working relationships with those contacted in the course of the work; analyze and resolve office administrative problems; and operate standard office equipment, including a word processor, computer terminal and centralized telephone equipment.
Other Requirements:
May require that employees work weekends, holidays, evenings or other shifts.
