Perform administrative support functions under minimal supervision on a daily basis for the Human Services Department, within the Salish Behavioral Health Organization (SBHO). Support workflow ofthe office as requested by management. Respond to difficult inquiries and perform duties which require a high level of confidentiality and integrity.
QUALIFICATIONS FOR PERFORMANCE OF THE ESSENTIAL FUNCTIONS
High School Diploma or GED; AND Customer service, High level confidentiality
Experience in the work environment with current version of Microsoft Office, including Word, Excel, and publishing software knowledge
Preferred Education and Experience Experience taking minutes for meetings using speedwriting or equivalent.
Record keeping and archival functions.
Prioritizing and coordinating workloads, including multiple programs and staff.
Knowledge of insurance operations
ILLUSTRATIVE EXAMPLE OF DUTIES
50% Coordinates, oversees, communicates, and performs, all administrative office operational duties, including administrative work for program coordinators. Prepare confidential correspondence and reports in support regional mental health and substance use programs. Record keeping with creating and maintaining desk instruction manuals for purchasing, achieving, contracting, and equipment. Maintain and archive hard copy files with adherence to tracking, storing, and destruction logs. Works closely with office support specialist.
20% Performs clerical duties as needed, such as filing, photocopying, and collating
5% Prepare and update brochures, flyers and booklets for various programs. Support for special events and projects
10% Respond to the public inquiries regarding program processes and procedures and provide referral information; including insurance-based inquiries. Updates of policies and procedures. Service as a resource for department and the public on department policy and procedure
10% Order, maintain, and distributes department office supplies, Organizes and manages mailings. Tracking of deliverables, due dates, and maintenance of files for future reference
5% Maintains office equipment and machines, troubleshoots and assists users; sends faxes and retrieves and routes incoming faxes. Process key, equipment, and service requests.
