Responsibilities

The positions are located in various Technology Centers throughout the Patent Corps. As a secretary, typical work assignments include:

Perform non-routine administrative and miscellaneous clerical work in support of management and staff.

Coordinate, reschedule or refuse appointments for the Group Director; accept or decline invitations to meetings or speaking engagements for the Group Director; and, if appropriate, arrange for representation by a subordinate official at a meeting or speaking engagement if the Group Director is unable to attend.

Receive telephone calls and visitors to the office of the Group Director.

Identify and resolve various problems and situations that affect the orderly and efficient flow of work in transactions with parties outside the organization.

Create and updates spreadsheets with information from the Group Director.

Devise and implement office procedures and practices.

Serve as the key point of contact between the Group Director and high-level officials.

Perform complex administrative and office automation duties in support of the Group Director's organizational agenda.

For the GS-7:

Specialized experience is defined as utilizing automated systems in order to provide administrative support to management and staff, and to perform duties such as: screening visitors and telephone calls; screening and responding to correspondence; reviewing various documents for grammar, spelling, and accuracy; maintaining an office filing system; file tracking; and making travel arrangements.

For the GS-8:

Specialized experience is defined as utilizing automated systems in order to provide key administrative support to a Senior Executive and to perform duties such as: screening visitors and telephone calls; screening, responding to and routing correspondence; reviewing various documents for grammar, spelling, and accuracy; maintaining an office filing system; file tracking; making travel arrangements; maintaining the supervisor's calendar; and working on ad hoc projects such as creating standard operating procedures for administrative processes.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
