\t\t\tPrimary duties will include: Lead persons in the registration of all Nebraska's births. Making sure all birth to be registered meet the established criteria for their legal registration. IT support to all Nebraska birthing hospitals. Makes decision in regards to statutory compliance and accuracy with all supporting documentation for birth registrations, such as Court Orders, Notarized documents, etc. Follows up with written letters in cases where supporting documentation does not match the required guidelines. Incumbent will be the contact person for all Hospital birth clerks; Contact person for DHHS in regards to birth registrations and Paternity registrations. Responsible for keeping journals and matching over 27,000 birth per year with the Monthly Maternal reports received from all hospitals. Responsible for Home Birth Registrations. Contact for all new parents. Provides support to internal and external customers. Face to face, on the phone, by email or letters. Responsible for scanning into the Nebraska Electronic Registration System all received Acknowledgment of Paternity received from all Nebraska birthing hospitals. Under general supervision, greets and provides customer service to the public; follows established procedures performing a variety of clerical tasks to create, maintain and process vital statistics records and requests for certificates of birth, death, and marriage dissolution, and adoption; and provides supportive services requiring extensive and on-going public contact with departmental clients and staff; performs related work as required. Has knowledge of cultural needs in the registration of the birth certificates. Vital Records Office of DHHS responsible for registration of all births which occur in Nebraska. These records are required to be filed with DHHS within 5 business days after the birth. SSA, Medicaid and CFS require submission of birth certificate data as soon as they are registered for their programs. Secondary Responsibility: Wait on counter customers, answer calls from customers and issue vital records to customers. Greets customers and answers questions (in person and by telephone) regarding rules\/regulations governing release of records, standard office processes, and department services to process requests for vital records. Obtains and confirms information on customers and customer requests by asking a series of routine questions to facilitate the approval of requests for vital records. Examines records requests and other documents furnished by customers to review for accuracy, completeness and relevancy of information and to determine if the criteria of proper purpose established by law for release of records has been met. Makes final decision whether proper purpose criteria have been met to allow release and issuance of vital records as requested. \r

\t\t\tREQUIREMENTS: Experience in performing office support\/clerical functions or record management activities.\r

\t\t\tPREFERRED: At least 2 years customer service experience, 2 years office\/clerical support experience. Demonstrated ability for effective time management and flexibility of duties throughout the day. Knowledge in Microsoft Word, Outlook, Excel. Bilingual preferred. \r

\t\t\tIncumbents should possess excellent customer service skills. Ability to interact with persons from various socio-economic levels with tack, courtesy and poise. Communicate effectively; adapt quickly to changes in procedures and conditions and interruptions that may disrupt work-flow. Code and record information. Compute and total figures involving the use of addition and subtractions; have an attention to detail and ensure accuracy and completeness of records. Ability to: Interpret agency policies and guidelines pertinent to office support operations. Select, adapt and apply established office support\/clerical policies, standards and procedures. Bilingual (English-Spanish) preferred and would be helpful. \r
