Responsibilities
This position is located in the Kernersville Health Care Center, Kernersville, NC. The Advanced Medical Support Assistant position impacts the administrative aspects of patient care and is a foundational role within the Patient Administration Service (PAS).
Major Duties:
Assist with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other healthcare providers as conflict with staffing and/or coverage occurs.
May serve in more than one Specialty Clinic area.
Performs a variety of administrative functions associated with patient care and treatment for a number of specialty outpatient and/or Mental Health clinics, performing a variety of services.
Responsible for accurate appointment management and the coordination of all administrative information between the professional staff and the patient. This includes updating and verifying demographic information, scheduling appointments, collecting insurance information, data entry, administratively managing consultation requests and the electronic waiting list, and notifying the patient of his/her scheduled appointment.
Acts on all scheduling orders/consults that pertain to their clinics and will verify that the order was completed.
Incumbent must be able to interpret and communicate requirements of VHA Scheduling Directives and complete accurate scheduling responsibilities and assist in training other MSA levels as follows:
a. Schedule appointments and utilize the Electronic Waiting List accurately in a timely manner. All appointments will be made with the patient's input, either in person or by phone.
b. Notifies his/her supervisor when clinic access is less than desirable or if an
individual patient cannot be scheduled within mandated clinic timeframes.
c. Daily review of active/pending consults, Electronic Wait List, Recall list and Audiocare communications for accuracy and disposition.
Incumbent develops and maintains effective and efficient communication with the patient, interdisciplinary team, other VA medical centers.
Incumbent must have a solid knowledge of multiple electronic systems and current computer technology regarding imaging applications, Vista application, CPRS, Microsoft Office Suite applications, and all other applicable programs/software and equipment.

Qualifications
Basic Requirements:
U.S. citizenship. Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
* (1). Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or
* (2). Education. One year above high school; or
* (3). Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency. MSAs must be proficient in spoken and written English.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Grade Determinations: The following criteria must be met when determining the grade of candidates.
* (a) GS-6 Advanced MSA
- One year of experience equivalent to the GS-5.
* (b) Assignment - The Advanced MSA works collaboratively in an interdisciplinary coordinated care delivery model (i.e., patient aligned care team, or other specialty care setting where the patient aligned care team model is used such as oncology, HIV, SCI, Military Sexual Trauma, etc.). The Advanced MSA coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilization Statistical Summary), ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments. They develop/maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; facilitate/process secure messaging with the patient and team; notify patients of normal lab results; develop and manage a tracking system for follow up care such as consults, tests, etc.).
* (c) Demonstrated Knowledge, Skills and Abilities: Application material will be reviewed to insure the candidates demonstrates the KSAs below:
* Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.
* Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.
* Advanced knowledge of the technical health care process as it relates to access to care.
* Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
* Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.
* Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: See VA Directive and Handbook 5019. The duties and responsibilities of the position requires some mobility between various Clinic areas in separate building location sites (if applicable), but generally the job is sedentary with some standing, stooping, reaching, and lifting up to 20 pounds.
