Summary

The incumbent serves as the Lead Medical Support Assistant for the Spinal Cord Injury Care Line Outpatient Clinic. S/he works under the supervision of the SCICL Administrative Officer with indirect duty assignments coordinated with the SCI Outpatient Medical Director. The incumbent is responsible to the supervisor for the work assignments of one Medical Support Assistant GS-0679-05 and coordinating with the SCI Home Care Coordinator for assignments and coverage by the SCI Home Care Medical Support Assistant GS-0679-05 as needed. The incumbent has varied responsibilities within the scope of the SCI Outpatient Clinic to include coordination of clinic appointments of the various providers of the SCI Team. The incumbent is the first line of contact for coordinating patient appointments, travel and accommodations. The incumbent will also perform other duties as assigned in support of the SCICL program.

Monday - Friday; 7:30 am - 4:00 pm

Responsibilities

The incumbent performs duties related to the receipt, intake, and indexing of health and administrative information. The incumbent will interface with personal computer (PC) applications as well as numerous Vista applications

The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; capturing patients insurance information without exceptions, Insurance Capture Buffer (ICB); utilize and monitor the Recall List; answering the Automatic Call Distribution (ACD) phone in compliance with the abandonment rate and average speed of answer measures of the Automatic Call Distribution (ACD) phones, and acting as liaison between MSA and staff in order to resolve day to day conflicts.

You must beCurrent, permanent employees of the Michael E. DeBakey VA Medical Center in Houston, Texas, and its Outpatient Clinics, Houston National Cemetery, Houston VBA employees, O/IT, Vet Center permanently employed for at least 90 days.

You may also be a current permanent employee of the MidSouth CPAC, VISN 16 Contracting employees serviced by the MEDVAMC and MEDVAMC VCS employees permanently employed for at least 90 days.

You must submit transcripts if using Education to qualify

You must meet 1 year of Specialized experience at the next lower level

Experience. One year of experience equivalent to a GS-6 level MSA.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Grade Determinations

: Applicants to this GS-7 position must possess at least one year of specialized experience equivalent to a GS-6 level Medical Support Assistant. Examples of specialized experience may include, but are not limited to:

* scheduling, canceling and rescheduling patient's appointments;

monitoring the electronic wait list;

assisting other team members in identifying appointments are verified as checked out or no showed;

verifying and updating demographics; and discussing basic eligibility and co-pays with patients;

assuring coverage of all areas of responsibility following the established surrogacy plan;

ensuring accurate and timely scheduling of appointments;

providing guidance to staff members to include changes in policies and procedures: distributing and balancing workload; creating and maintaining employee work schedules;

orienting and providing on-the-job training for new and current employees;

ensuring all the training requirements are met;

organizing the work structure of his/her assigned areas;

acting as liaison between MSA and staff in order to resolve day to day conflicts.

In addition, candidates must demonstrate the following knowledge, skills and abilities (KSAs):

1. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.

2. Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations.

3. Ability to provide staff development and training.

4. Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding to the impact of incomplete work.

5. Ability to review and monitor data to ensure all reports are complete and accurate.
