This position is located in the Drug Enforcement Administration (DEA), Miami Field Division; Weston, Florida.

The incumbent will perform the following duties: Acts as the office manager for the supervisor. Ensures practices and procedures used by secretaries in subordinate organizational segments are consistent with those of the supervisor's office.

Plans and develops new methods for coordinating the administrative work of a complex organization with disparate organizational segments that require complicated administrative controls to accomplish the work of the organization.

Exercises exclusive control over the supervisor's calendar, with complete authority for time commitments.

Navigates the various subordinate levels of hierarchy and differing technical functions to determine who should handle complicated inquiries from telephone callers and personal visitors.

Receives and screens all correspondence for the supervisor.

Establishes a sophisticated correspondence tracking system to ensure deadlines are met and follows up to ensure actions are completed.

Composes correspondence, such as letters of acknowledgement, general office policies, acceptance of invitations and one-of-a-kind reports.

Reviews outgoing correspondence for clarity, consistency, completeness and compliance to organizational policy.

Integrates several types of software, such as spreadsheet, database, word processing, desktop publishing and graphics applications to generate specific working documents and forms.

Provides office automation advice, guidance and assistance to the staff.
